Meeting & Events Executive

The Hoxton, Shoreditch

We are currently recruiting for an experienced Meeting & Events Executive, to join us here at The Hoxton Shoreditch. 

Reporting to our Sales Manager – Group, Meetings & Events you will be responsible for the reactive management and conversion of enquiries to drive group, meetings and events revenue into The Hoxton, Shoreditch.

Main Responsibilities...

Managing the meeting and residential event enquiry process from start to finish; answering calls and emails, sending proposals, converting enquiries and taking the event through the planning and logistical stage to handover to operations.

Ensuring all new enquiries are responded to by phone or email with-in a 3 hour timeframe.

Ensuring Opera Sales & Catering is up to date by inputting new enquiries into the system in addition to setting and carrying out appropriate follow ups as per The Hoxton standards.

Negotiating meeting & events rates with clients, in line with the selling guidelines, to ensure annual budgets are met.

Conducting show arounds on property.

Managing the preparation and distribution of function sheets on a weekly basis.

Attendance at weekly Operations meeting when required.

Effectively co-ordinating activities relating to booked Meeting & Event business with other departments, ensuring client’s expectations are met by maintaining team communication.

Assist with the inspection of meeting rooms on a daily or weekly basis, when required.

Processing billing related activity such as invoicing, managing payments and issuing receipts.

Following up with clients post event to get feedback and secure repeat business where possible.

Building strong relationships with clients for repeat business.

Contacting and probing repeat clients for business to fill need periods and track year on year trends and events to drive rebooks.

Maintaining excellent Hoxton product knowledge and upselling wherever possible.

Cross-selling all global Hoxton properties, where applicable, to maximise revenue opportunities across the portfolio.

Ensuring that daily, weekly and monthly administration is completed accurately and within the required timescales and that all groups/events have necessary documentation on file.

Responsible for effectively managing and maintaining your email inbox.

Maintaining an excellent level of knowledge of the local marketplace in each Hoxton location.

Supporting the sales team in attending and assisting with in-house sales activities, familiarisation trips, client hospitality evenings, presentations, show rounds and promotional activities as required by the needs of the business.

Responsible for achieving set annual Key Performance Objectives (KPOs).

Complete all reporting within given deadlines – as requested by the Sales Manager – Group, Meetings & Events, Head of Group Sales or the Director of Sales, UK & Europe.

Complete all other duties, tasks and projects as assigned by the Sales Manager – Group, Meetings & Events, Head of Group Sales or the Director of Sales, UK & Europe.
