Meetings & Events Executive

We are currently recruiting for a multi property Meetings & Events Executive to join us here at The Hoxton.

Reporting to our Sales Manager – Group, Meetings & Events you will be responsible for the reactive management and conversion of enquiries to drive group, meetings and events revenue primarily into The Hoxton, Shoreditch and The Hoxton, Holborn as well as The Hoxton, Amsterdam and The Hoxton, Paris when required.

We don’t go in for strict job descriptions, we all like to get mucked in, however in your role as a Meeting & Events Executive you will be…

  • Working with the property-based Meetings & Events Executives to manage the event enquiry process for The Hoxton Shoreditch and The Hoxton Holborn from start to finish; answering calls and emails, sending proposals, converting enquiries and taking the event through the planning and logistical stage to handover to operations.
  • Negotiating meeting & events rates with clients, in line with the selling guidelines, to assist in achieving the hotels revenue targets.
  • Processing billing related activity such as invoicing, managing payments and issuing receipts.
  • Following up with clients post event to get feedback and secure repeat business where possible.
  • Responsible for covering the duties of the property based Meetings & Events Executives in London when the business requires it, such as during periods of annual leave.
  • Cross-selling all global Hoxton properties, where applicable, to maximise revenue opportunities across the group.
  • Ensuring all new enquiries are responded to by phone or email with-in a 3 hour timeframe.
  • Ensuring Opera Sales & Catering is accurate by inputting new enquiries into the system and setting and carrying out appropriate follow ups as per The Hoxton standards.
  • Available to meet and greet clients as and when required.
  • Managing the preparation and distribution of function sheets on a weekly basis and present function sheets when required in the weekly operations meeting.
  • Effectively co-ordinating activities related to booked Meeting & Event business with other departments, ensuring client’s expectations are met by maintaining team communication.
  • Building good relationships with clients for repeat business.
  • Maintaining excellent Hoxton product knowledge and upselling wherever possible.
  • Ensuring that daily, weekly and monthly administration is completed accurately and within the required timescales and that all groups/events have necessary documentation on file.
  • Responsible for effectively managing and maintaining your email inbox.
  • Maintaining an excellent level of knowledge of the local marketplace in each Hoxton location.
  • Supporting the proactive sales team by attending and assisting with familiarisation trips, client hospitality evenings, presentations, show rounds and promotional activities as required by the needs of the business.
  • Responsible for achieving set KPOs.
